- Microbial monitoring frequency for water systems and finished products
- Particulate count limits, and the action plan when limits are exceeded
- HVAC validation status and whether monitoring is continuous or manual
I once had a supplier say they met "pharma environmental control requirements." When I asked for 12 months of particle count data, they went quiet. It turned out they only monitored during batch production. Sounds reasonable, until you realize you have no baseline for what happens between batches. I remember a procurement exercise where a cheaper caustic soda supplier quoted $0.05/kg less than our incumbent. The upside was a few thousand dollars per year. The risk was unknown impurity variation that could affect a validated process. I kept asking: is saving five cents per kilo worth the possibility of shutting down the line? For us, the answer was no. Common Pitfalls to Avoid
A few lessons from the field:
"Within industry standard" is a red flag, not reassurance. When I pressed a vendor on a visible spec deviation, that was their answer. Industry standard might be acceptable for general use, but if it deviates from your spec, the argument doesn't help. We rejected the batch.
Documentation requirements need to be explicit. I said "we need the COA with the shipment." They heard "we can send the COA when we get around to it." Result: 8,000 units quarantined for three weeks while we chased paperwork. If I remember correctly, it took exactly 19 days to resolve. Now the contract says the COA must be included in the shipping document package before the truck leaves.
A clean audit report doesn't replace a visit. Paper tells you what the supplier wants you to see. A warehouse tour—even a remote video walkthrough—tells you the rest. If travel isn't possible, request a camera walkthrough of storage, production, and labeling areas before approving a new supplier.

Here's how to know if you're in the exception: if you're buying from a broker rather than the manufacturer, verify who actually produced the material and request a sample from the current lot. If the material has no pharmacopeia monograph, get regulatory affairs involved before you build the specification.
